Why automate the workflows of a vehicle fleet?

A fleet of 50 vehicles generates hundreds of dated events every year: roadworthiness tests, insurance deadlines, contract ends, fines to attribute, vehicle inspections, servicing, reports. Handled by hand, these events depend on one person’s memory and an Excel file. The day that person is away, the fleet is at risk.

Which 8 workflows should be automated first?

1. Roadworthiness test deadline

Company vehicles are subject to periodic roadworthiness tests, at intervals that depend on the vehicle category (service-public.fr). Dadycar reads the date of the last test, calculates the next deadline by category, alerts at D-60 and D-30, then creates a work order to a partner centre through Dadycar Garage. 2. Insurance renewal

Each insurance contract is attached to a vehicle with its expiry date and its document. A rule reminds the manager 45 days ahead, requests the new certificate and keeps a “missing document” alert open until the certificate is filed in document management.

3. End of a long-term lease

A poorly anticipated end of long-term lease costs return fees and mileage penalties. Dadycar compares the actual mileage (odometer or telematics) with the contractual mileage, projects the date it will be exceeded and alerts 6 months, 3 months and 1 month before the deadline to decide: return, extension or renewal.

4. ANTAI driver naming

On receipt of a fine notice, the company has 45 days to name the driver (article L121-6 of the French Highway Code), or face a non-designation fine of €675 for the legal entity (ANTAI). The Dadycar workflow identifies the driver assigned to the vehicle at the date and time of the offence, prepares the designation through the ANTAI integration and tracks the remaining time.

5. Vehicle inspection reminder

At every vehicle handover or return, the Dadycar Go mobile app asks the driver for a photographed inspection. If the inspection is not done within 24 hours, an automatic reminder goes to the driver, then to the manager.

6. Work order after an anomaly

When a driver reports an anomaly (warning light, noise, tyre) or the telematics device sends a fault code, a rule automatically creates a work order, assigns it to the nearest partner garage and informs the driver. This chain feeds predictive and automated maintenance.

7. Monthly report

On the first day of the month, Dadycar generates the fleet report (costs, mileage, accidents, deadlines) and emails it to the manager and to management. No manual extraction: this is the workflow behind the reduction seen at our customers, up to -70 % of reporting time.

8. Mileage alert

A mileage threshold triggers the manufacturer service, the contract review or the rotation of vehicles between high- and low-mileage drivers. With real-time telematics the odometer is updated automatically; without a device, the driver enters the mileage in the mobile app.

How do you set up an automation rule in Dadycar?

A Dadycar rule has four parts and is created without technical skills.

    A trigger

    A date (deadline, end of contract), a threshold (mileage, cost, consumption), an event (reported anomaly, fine received, vehicle returned) or a telematics reading.

    A condition

    The scope concerned, for example “vans at the Lyon site” or “leased vehicles over 30 months”.

  3. 3
    An action

    Send an alert, create a work order, request a document, generate a report, notify a driver in Dadycar Go.

  4. 4
    A recipient and an escalation

    Who receives the action, and who it goes up to if nothing is done within the set time.

Example: trigger “roadworthiness test in 60 days”; condition “all active vehicles”; action “create a work order and notify the driver”; escalation “alert the manager at D-30 if the order is not scheduled”. Every alert generated is visible in the anomalies and alerts module and in the custom dashboard.
