Vehicle benefit in kind: the report produced from your fleet

A vehicle benefit in kind corresponds to the private use of a vehicle made available by the employer; it enters the base for social security contributions. Dadycar produces a benefit-in-kind report from fleet data: contract and monthly payment, energy, driver, site, odometers and expenses. The calculation and the declaration remain a payroll matter.

What the benefit-in-kind report changes

  • Up to -70 % of the time spent producing reports.
  • A native benefit-in-kind report in the Reports module, alongside Reports and Reports V2 (beta).
  • Data already there: contract, fuel, driver, site, odometers, expenses.

Why benefits in kind cost so much time

  • The data is split apart: the contract at the leasing company, the fuel at the issuer, the assignment in an HR file.
  • Every movement counts: an arrival, a departure, a change of driver, and the month has to be done again.
  • Payroll is waiting: the HR department chases, the fleet manager re-enters, the mistake slips in.

What you get with Dadycar

Dadycar gathers the fleet data used in the calculation and produces the report. The applicable rule and its validation remain a payroll matter.

A native benefit-in-kind report

The Reports module includes a benefit-in-kind report, alongside Reports and Reports V2 (beta).

The contract data

The vehicle record carries the monthly payment, the contract end date, the contract mileage and the overrun.

The vehicle and its energy

Fuel, CO2 in grams per kilometre and vehicle status are recorded on the record, including for electric vehicles.

The driver and the site

Every vehicle is attached to a driver and to a site, with its dates of entry into and exit from the fleet.

The real odometers

The odometer history keeps the readings, reported by telematics or entered by hand.

The expenses and the fuel

Costs per vehicle and the fuel and charging histories complete each vehicle's file.

How it works

  1. 1Keep the vehicle record up to date. Contract, energy, driver, site: that is the basis of the report (vehicle lifecycle).
  2. 2Let odometers and expenses come in. Telematics or manual readings, fuel and charging transactions (fuel tracking).
  3. 3Produce the benefit-in-kind report. You export it and pass it to payroll or to the accountant (reports and analytics).

Who it is for

  • Fleet managers: supplying the raw material of the calculation without spending the month-end on it (see the role page).
  • HR and payroll managers: receiving a statement per vehicle and per driver (see the role page).
  • SME leaders: measuring what company cars really cost (see the role page).

Your questions before getting started

  • “Does this replace my accountant?” No. Dadycar produces the report from fleet data; the choice of method and the declaration remain with the payroll manager or the accountant.
  • “Do I need a device?” No. Odometers can be entered by hand; telematics reports them automatically when it is in place.
  • “What about electric vehicles?” The vehicle record carries the energy and the CO2; charging histories are tracked like fuel.

Frequently asked questions

How is the benefit in kind of a company car calculated?

Two methods exist: an assessment based on the costs actually incurred, or a flat-rate assessment that the employer may choose to apply. The flat rate differs depending on whether the vehicle is bought or leased (BOFiP, BOI-RSA-BASE-20-20; Urssaf).

Does fuel paid for by the employer change the benefit in kind?

Yes. When the employer covers the fuel used privately, the flat-rate assessment of the benefit is higher than when it does not, for a bought vehicle as well as for a leased one (BOFiP, BOI-RSA-BASE-20-20).

Which vehicle benefit-in-kind scale applies today?

The scale depends on the date the vehicle was made available: the order of 25 February 2025 changed the assessment of benefits in kind for calculating social security contributions. Check the scale in force with the Urssaf and the Bulletin officiel de la Sécurité sociale.

Is there a specific regime for electric vehicles and charging points?

Yes, a specific regime applies to vehicles running exclusively on electricity and to charging points made available by the employer. Its amounts and its period of validity are set by regulation: check them before each payroll run on boss.gouv.fr and urssaf.fr.

Does Dadycar calculate the benefit in kind in place of the payroll manager?

No. Dadycar produces a benefit-in-kind report from fleet data: contract and monthly payment, energy, driver, site, odometers and expenses. The choice of method, the application of the scale and the declaration are a matter for the accountant or the payroll manager.

Which fleet data feeds the benefit-in-kind report?

The vehicle record (monthly payment, CO2, fuel, driver, site, dates of entry and exit), the odometer history (telematics or manual readings) and the expenses, including the fuel and charging histories. All of it is held in Dadycar, with no intermediate export.
