Ambulance and medical vehicle fleet management
A medical fleet brings together ambulances, light medical vehicles and home care service vehicles. Every vehicle is driven by several crews, by day as well as by night. Managing it means guaranteeing that a compliant, clean vehicle is available the moment the mission comes in.

Three facts that matter
- Up to -40 % of the time spent on servicing.
- An availability rate tracked in the dashboard, with a target and the vehicles off the road.
- Multiple drivers: assignment by team, by day and by shift.
What goes wrong on a medical fleet
- One vehicle off the road brings down a shift. A vehicle at the garage with no replacement, and a service line is no longer covered.
- Nobody knows what state the vehicle came back in. Between two crews, the condition report and the disinfection leave no written trace.
- Due dates are discovered late. Roadworthiness test, insurance, ambulance crew licences, vehicle documents: tracking stays in a binder.
A fleet whose availability is a figure
In medical transport, the vehicle is not a cost item: it is a means of care. Dadycar treats its availability as a tracked indicator, not as a surprise.
Fleet availability and status
The fleet tab of the dashboard shows the availability rate against its target, the vehicles off the road and the split between assigned and pool vehicles.
Condition reports between missions
Automatic inspection forms trigger a check at every handover or return: cleanliness, disinfection, on-board equipment, damage found.
Due dates and reminders per vehicle
Roadworthiness test, insurance, periodic checks: every due date carries its owner and comes up before the date, not after.
Preventive maintenance by category
Separate maintenance plans by vehicle category and by engine type, to schedule garage visits outside shift hours.
Real-time location and assignment
The real-time map and the assignment schedule show which vehicle is out, which is available and who is driving it.
Documents attached to the vehicle
Registration certificate, insurance, contracts, certificates: documents are attached to the vehicle with their expiry date, readable from the field.
Three steps to get started
- 1Import the fleet by vehicle category, with sites, teams and associated documents.
- 2Set up the checks: inspection forms at handover and return, due dates and reminders with their owners.
- 3Steer availability from the dashboard and from real-time tracking, team by team.
Who it is for
- Ambulance companies and patient transport services, close to the turnover challenges of passenger transport.
- Institutions and home care services whose rounds follow the same logic as transport and logistics.
- The fleet manager tracking availability, due dates and claims: see the role page.
Your inspection form, set up during the demo
Bring your shift handover check-list: we turn it into an inspection form triggered at every rotation.
Your questions before getting started
- “Our crews change every day.” Assignment is done through the schedule: one vehicle can carry several successive drivers in the same day.
- “Our vehicles are converted, not standard.” Every vehicle carries its category, its maintenance plan and its own documents.
- “How long does it take to start?” Due dates and reminders work as soon as the fleet is imported, before any equipment is fitted.
