How do you calculate the total cost of ownership of a fleet vehicle?

The TCO adds up, over the holding period, the fixed costs (lease or depreciation, insurance, taxes) and the variable costs (fuel or energy, servicing, tyres, accidents, fines), then relates them to the year or the kilometre. The Dadycar TCO calculator gives a first estimate.

Which expenses should you track for a vehicle fleet?

Leases or depreciation, insurance, fuel and charging, servicing and repairs, tyres, roadworthiness tests, fines, accidents, mobility expenses and miscellaneous costs. In Dadycar, every expense is typed, attached to a vehicle and a supplier, with or without an invoice, and carries its VAT.

How do you allocate fleet costs between several sites or subsidiaries?

By assigning each vehicle to a site and each expense to a vehicle: the split per site becomes automatic. The cost allocation tab of the Dadycar dashboard prepares that breakdown per period, filterable and exportable for each entity's accounts.

What is a vehicle benefit in kind and how is it declared?

When an assigned vehicle can be used privately, the employer declares a benefit in kind subject to contributions, assessed on actual costs or at a flat rate according to URSSAF rules (urssaf.fr). The Dadycar benefit-in-kind report prepares those amounts per vehicle and per employee.

Do you need a telematics device to track costs?

No. Expenses, contracts and TCO work with no hardware. A GPS-OBD device or a connected vehicle adds real mileage, which gives an exact cost per kilometre and tracks lease mileage overruns.
