Multi-lessor leasing tender: from quotation to purchase order
One approved order, several lessors consulted, quotations read automatically and compared on TCO and lead time. Then a purchase order and tracking through to the return.

What the Tenders & Quotations module changes
- A multi-lessor tender created from the order, with a response deadline.
- Quotations read by OCR, with a confidence score on every extracted value.
- An automatic recommendation: best TCO or shortest delivery time.
When quotations pile up in a mailbox
- Three lessors, three PDF quote formats, and a spreadsheet to compare them by hand.
- The lease is compared, not the TCO: servicing, insurance, mileage and return costs stay outside the calculation.
- Once the purchase order is signed, visibility is gone on production, delivery and the condition report.
What you get with Dadycar
The Tenders & Quotations and Purchase order & delivery tracking modules extend the Catalogue & Car Policy module, offered as a beta version. Each step reuses the data of the previous one.
Tender from the order
The approved order generates the tender: vehicle, duration, mileage, lessors consulted, response deadline. Replies are attached to the order.
OCR reading of quotations
Every quotation received is read automatically: lease, duration, mileage, services included. A confidence score flags the values to check before comparison.
Comparison and recommendation
Quotations are placed side by side on monthly TCO and announced lead time. Dadycar recommends the best offer according to your criterion: cost or speed.
Purchase order
The chosen quotation becomes a purchase order sent to the lessor, with the documents expected and the planned delivery date.
Tracking through to the return
Production, delivery, use, return: every ordered vehicle moves along a timeline with condition reports, missing documents and any delay or early arrival flagged.
Exports
Comparisons, purchase orders and delivery tracking can be exported for purchasing and the finance department.
How it works
- 1Start from an approved order. It comes from the approval flow of the car policy; the tender reuses its characteristics.
- 2Receive and compare the quotations. The lessors' PDFs are read by OCR; you validate the values with a low confidence score, then the comparison ranks the offers by TCO or by lead time.
- 3Order and follow up. The purchase order goes to the lessor; delivery, condition report and return are tracked along with the vehicle documents.
Who it is for
- Purchasing managers: a traced competitive process and a comparison on the full cost (see the role page).
- Fleet managers: deliveries and returns tracked without chasing lessors by email (see the role page).
- Commercial fleets: grouped renewals of company cars handled in a single order (see the industry page).

Your questions before getting started
- “Do our lessors have to use Dadycar?” No: they reply with their usual quote, which Dadycar reads by OCR.
- “OCR can get it wrong.” It can, which is why every extracted value carries a confidence score; uncertain values are validated before the comparison.
- “We also buy vehicles outright.” Order, delivery and return tracking applies to vehicles whatever their financing method.
