Reminders and due dates

Roadworthiness tests, ends of contract, insurance, licences and scheduled maintenance come up before the date, with a named owner and template-based reminders (reminders and due dates).

Telematics alerts with thresholds

Around forty OBD and CAN signals: 12 V battery, engine warning light and fault codes, tyre pressure and temperature for each wheel, impact, fuel level. Every signal has its severity, its adjustable threshold and its routing: a notification to the driver, to the manager or by email.

Assignment and scheduling

A day, week or month schedule. You assign a vehicle to a named driver or open a pool vehicle to booking, unlocked with a badge (assignment and scheduling).

ANTAI offences and parking charges

Driver designations and post-parking charges are handled from the same screen as the rest of the fleet (offences and parking charges).

Claims, documents and reports

Claim reporting, insurance and repair tracking, rankings of the vehicles and drivers most affected. Documents carry their expiry date, and reports export with no re-entry (reports).

What you will have to defend internally

  • “The budget has to be justified.” Pricing is per vehicle per month, free up to 50 vehicles then €6 excl. VAT: the cost compares directly with administrative time and missed due dates.
  • “The drivers will not use it.” They only have a mobile app, for the condition report, the booking and the alerts that concern them. The rest does not go through them.
  • “The works council and the GDPR will block it.” Telematics is a separate module. You can start without it, and put it in place after informing employees and consulting the works council.

Frequently asked questions

What does a fleet manager do?

Track the vehicles and their contracts, plan servicing and mandatory tests, assign vehicles to drivers, handle claims and offences, follow costs and produce management reports. In an SME, the role is often held part time.

Which tool manages a vehicle fleet without a spreadsheet?

Software that brings together vehicles, contracts, drivers, due dates, expenses and documents, and raises the alerts for you. The value lies less in the storage than in the trigger: due dates come up before the date, without anyone having to think of them.

Can employees' vehicles be located?

Yes, for specific purposes: safety of people and goods, allocating resources for scattered jobs, compliance with the rules on using the vehicle. Permanent monitoring and checking compliance with speed limits are excluded (CNIL).

Must the works council be consulted before installing location tracking?

Yes. The works council must be informed or consulted before it is put in place. Employees must be informed individually and be able to switch off collection outside working time (CNIL).

How long is location data kept?

Two months at most as a rule. One year to optimise rounds or justify a job, five years for tracking working time when the data serves that purpose (CNIL).

How long do you have to name the driver of a company vehicle that has been booked?

Forty-five days from the date of the fine notice, under article L. 121-6 of the French Highway Code. Failing that, the legal entity faces a fixed fine of €675, on top of the original fine (ANTAI).
