Fleet Administration

Fleet administration is the administrative backbone that supports all field operations. Less visible than real-time supervision, it is nonetheless fundamental to ensuring the legality, compliance, and financial control of the vehicle fleet. It is a function that requires rigor, organization, and excellent process knowledge.

The four missions of fleet administration

The main missions of fleet administration are broken down into several critical areas:

• Document Management and Compliance: This is the foundation of the activity. The administrator ensures that each vehicle has valid and up-to-date documents: registration, insurance certificate, technical inspection certificate, Crit'Air sticker. They also manage deadlines to anticipate renewals and avoid any service interruption or non-compliance.
• Fine Management: Often a time-consuming task, managing fines (parking, speeding) is a key process. The administrator must receive the ticket, unequivocally identify the responsible driver at the time of the infraction (via schedules or telematics), and carry out the designation process to prevent the company from paying increased penalties.
• Contract and Supplier Management: Fleet administration is the interface with partners. This includes monitoring Long-Term Lease (LTL) contracts, managing insurance policies (claims reporting, adding/removing vehicles), managing fuel cards (ordering, blocking, monitoring limits), and relationships with garages and maintenance centers.
• Budget Tracking and Billing: The administrator collects, verifies, and allocates all invoices related to the fleet: leases, fuel, maintenance, tolls, repairs. This meticulous work is essential for consolidating the data that will then be used to calculate the Total Cost of Ownership (TCO) and manage the budget.

Effective fleet administration, often centralized within dedicated software, frees the fleet manager from repetitive tasks, reduces the risk of errors and penalties, and provides a clear and accurate financial overview of the fleet.
