What elements must a car policy absolutely contain?
A well-written car policy is the backbone of fleet management.
It serves as a reference for managers and drivers and prevents many disputes.
The essential sections of a car policy are: - **Eligibility Criteria:** Who is entitled to a vehicle, and of what category, based on their job or hierarchical level.
- **Vehicle Catalog:** The list of authorized models, often selected based on their TCO, CO2 emissions, and safety rating.
- **Usage Rules:** Clearly defines the terms of use (private use allowed or not, authorized drivers, travel abroad, etc.
).
- **Fuel and Maintenance:** Specifies the procedures for refueling (use of the fuel card) and for vehicle maintenance.
- **Safety and Claims:** Outlines safety rules (ban on phone use while driving), mandatory equipment, and the procedure to follow in case of an accident or fine.
- **Vehicle Return:** Defines the condition in which the vehicle must be returned at the end of the contract or upon the employee's departure.
A car policy should be a living document, regularly updated to incorporate new powertrain technologies (electric, hybrid) and regulatory changes.
