Operating Costs

Operating costs, or OpEx, are the expenses required for the day-to-day functioning of a fleet. They are distinct from capital expenditures (CapEx), which are one-time purchases of major assets like the vehicles themselves. Managing and reducing operating costs is the primary focus of a fleet manager.

The cost items

The main operating costs for a vehicle fleet can be broken down into:

• Fuel: Often the largest single operating expense. This is a variable cost that fluctuates with mileage and fuel prices.
• Maintenance and Repairs: Includes all costs for preventive maintenance, spare parts, tires, and unplanned repairs.
• Labor: Driver salaries, benefits, and training costs.
• Insurance: Premiums for vehicle and liability insurance.
• Taxes, Tolls, and Fees: Includes road taxes, highway tolls, and regulatory fees.
• Depreciation: While the vehicle purchase is CapEx, the loss in its value over time is often treated as an operating cost.
